Faxing Using Email FAQ

Thank you for using our fax via email solution. This has been set up with your email account and is ready for you to use. Please see the following guide for assistance using this as your easy fax solution.

Sending a Fax

      -          In your email, create a new message

      -          In the “To” area, put the fax number in the format faxnumber@rcfax.com . For example, if you are sending a fax to “919-456-7890” you would format it 9194567890@rcfax.com

      -          In the subject line, put any notes for the fax. These will show on the Notes area on the cover page

      -          Attach any pdf file you need sent (Using Casamba/NetHealth, you can download POC/item needing signature/fax, and bypass printer use)

      -          Send the email (this sends the fax)

The email/fax will send, and you will receive a transmission report to your inbox shortly after sending (usually within 15 min). On the receiving end, they will get the fax on their machine as usual.

Receiving a fax:

      -          When a fax is received you will get an email. Attached will be a PDF of the documents and the sender’s information.

      -          You can save the fax/PDF of the document received to your PC and then upload from there, bypassing the printer entirely.

Optional organizational suggestion-Organizing folders in Legacy Webmail (you can create a top-level folder for Ring Central, and categorize/store faxes using folders however works best):

In this example, we will create a new folder at the top level of your account:

 

1. Within Mail, right-click Folders (located within the left-hand folder list).

 

2. Select Create new folder.

 

3. Type in the name of your new folder. It will be placed just below your Inbox.

 

Tip: To create a sub-folder, use the same steps as above but instead of right-clicking Folders, right--click on the folder that you want to add a sub-folder to instead. Select Create new sub-folder, and continue as above.

 

Transfer messages

You can transfer messages by simply dragging and dropping from one folder to another.

 

1. Ensure that the contents of the folder you wish to move messages from is displayed by selecting it.

               

2. Now you can simply click on a message and drag it to the folder of your choice.

 

Tip: Hold down the shift key to select multiple adjacent messages, or the Ctrl key to select multiple non-adjacent messages.
